How email verification works
An email verification tool runs layered checks on every address you submit. The first layer is syntax — the address must match the basic structure of a valid email. The second layer looks up the domain and its MX records, confirming the domain exists and can route mail.
The final layer goes server-side, testing whether a given mailbox or server will accept a message for that address. Along the way, the checker compares the address and domain against known patterns: disposable providers, role-based prefixes, free mailbox providers, and catch-all servers.

Email verification vs validation vs hygiene
Three related terms — validation, verification, and hygiene — often get used as if they were synonyms. They aren’t. The differences matter when you’re picking a tool or explaining results to a colleague.

In practice, teams run validation as a one-off API or form check, verification before campaigns and big CRM imports, and hygiene as an ongoing discipline. This tool covers validation and verification; hygiene is the habit you build around it.
Why verifying before you send matters
Every invalid address on your list costs you twice: in paid storage inside your CRM or sending platform, and in damaged sender reputation when messages bounce. Google’s sender guidelines specifically tell bulk senders — anyone sending more than 5,000 messages a day to Gmail — to keep reported spam rates below 0.3% and to confirm each recipient before subscribing them.
Verifying before you send is the cheapest lever you have. It removes the most obvious invalid and risky addresses from every campaign, cuts bounces, and protects the deliverability you already earned with email data hygiene best practices.
Gmail is no longer the only gatekeeper with published rules. Since May 5, 2025, Outlook requires high-volume senders (domains sending more than 5,000 messages a day to Outlook.com addresses) to pass SPF, DKIM, and DMARC. Microsoft first routed non-compliant mail to Junk, then moved to outright rejection with a 550 5.7.515 Access denied response. Authentication is a different job from list quality, but the two land on the same scoreboard. Gmail and Outlook both judge you on how your recipients behave, and dead addresses are the fastest way to look like a sender nobody wants to hear from.
What do your email verification results mean?
A verification result is a label you still have to interpret. Valid means the address passed every check and is safe to send. Invalid means it failed at syntax, domain, or mailbox level and should be removed. The labels in between (catch-all, role-based, disposable, unknown) are judgment calls that depend on your list, your sender reputation, and how much risk you can carry.
Most teams lose money on those middle categories. Deleting invalid addresses is easy. Deciding what to do with 4,000 catch-all records sitting on your best-fit enterprise accounts is the part nobody has a rule for.

Catch-all is the label that causes the most argument, so treat it as its own workflow rather than a coin flip. Send to a small sample first, watch the bounce rate on that sample, and only then decide whether to open the rest of the segment. A catch-all domain that bounces at 2% behaves like a valid domain. One that bounces at 30% is a list you don’t want.
Two of these labels do double duty as scoring signals. A role-based address and a free-provider address say something real about who filled in your form, which is why they belong in your scoring model instead of a delete queue. How often should you verify your email list?
Verify at three fixed moments: at capture, before any campaign to a segment you haven’t mailed in 90 days, and on a quarterly sweep of the whole database. Everything in between is optional. Teams that pick a cadence and stick to it spend less on verification credits than teams that clean reactively after a bounce incident.
The reason is decay, not neglect. People change jobs, companies get acquired, mailboxes get deprovisioned. A B2B list ages whether or not you touch it, and the records that rot fastest are usually the ones you paid the most to acquire.
At capture. Verify in real time on the signup form so disposable and malformed addresses never enter the database. This is the cheapest verification you will ever run, because you’re paying for one address instead of re-cleaning a list of a hundred thousand later.
Before a campaign. Any segment that hasn’t received mail in roughly 90 days gets verified before it gets a send. This includes every list you’re about to push into an ESP. Verify before the import, or you end up paying for the same contacts twice. That applies whether you’re loading contacts into HubSpot, Marketo, or running scoring inside ActiveCampaign.
Quarterly, everything. A full sweep catches the slow decay that segment-level cleaning misses. It also gives you a number to watch: if the share of newly invalid addresses climbs quarter over quarter, your acquisition channels are getting worse, not your list.
There’s a reporting side effect worth knowing about. Dead records sit in your funnel as MQLs that can never become opportunities, and they quietly drag down every conversion rate you report upward. If your MQL to SQL conversion rate has been sliding without an obvious cause, rule out list quality before you rebuild the scoring model.

ZeroBounce
ZeroBounce is a deliverability suite that happens to include verification. Alongside list cleaning you get inbox placement tests, blacklist monitoring, an email finder, and a real-time validation API.
- Best for: teams whose problem is deliverability broadly, not just a dirty list.
- Pricing: free tier of 100 credits a month. The ZeroBounce ONE subscription starts at $99/month with a 10,000-credit minimum, with 20% off annual billing; pay-as-you-go is available with a 15% autopay discount. Credits don’t expire, and “unknown” results aren’t charged.
- Pros: broadest feature set in this list; credits never expire; the API is built for real-time signup validation.
- Cons: the highest subscription entry point here by a wide margin. If all you need is verification, you’re paying for tools you won’t open.
NeverBounce
NeverBounce was acquired by DiscoverOrg (now ZoomInfo) in March 2019, and its verification runs inside ZoomInfo’s own data quality process. That heritage shows: it’s built for cleaning large sales databases rather than newsletter lists.
- Best for: RevOps teams cleaning CRM data at scale, particularly if the data came from ZoomInfo.
- Pricing: $8 per 1,000 credits ($0.008 per email), with free test credits and a free list analysis before you buy.
- Pros: simple flat unit price; strong fit with sales data workflows; you can size a list before spending anything.
- Cons: credits expire 12 months after purchase. Most of the credit-based vendors here say outright that credits never expire, so this is the one to watch: buying volume for a discount only pays if you’ll actually use it inside the year.
Kickbox
Kickbox publishes its entire rate card, from 500 verifications up to a million, with no “contact us” gate until enterprise volume. In a category where most vendors hide pricing behind a signup, that alone makes budgeting easier.
- Best for: anyone who needs to put a real number in a budget request before creating an account.
- Pricing: 100 verifications free. Then $5 per 500, $10 per 1,000, $40 per 5,000, $70 per 10,000, $150 per 25,000, $275 per 50,000, $500 per 100,000, up to $2,999 per million. Unknown results are refunded as credits.
- Pros: fully public pricing; SOC II certified and GDPR-compliant with both US and EU infrastructure; refunds on inconclusive checks.
- Watch out: the pricing page says nothing about credit expiry either way. Ask before you buy a large block.
- Cons: much more expensive at the top of the volume curve than the budget options. A million verifications costs roughly six times what MillionVerifier charges.
Bouncer
Bouncer is EU-based and deliberately sells credits rather than monthly plans. Its stated reasoning is that subscriptions make you pay for verification you don’t use, which is a fair description of how most teams actually verify: in bursts, before campaigns.
- Best for: European teams with GDPR requirements, and anyone whose verification volume is lumpy.
- Pricing: 100 free credits to start. From $8 per 1,000 ($0.008 each), dropping to $400 per 100,000 and around $2 per 1,000 at a million. Credits never expire, and auto-refill is available.
- Pros: no expiry and no subscription commitment; volume discounts stack; minimum purchase is only 1,000 credits.
- Cons: credit-only pricing means one more thing to monitor if you verify continuously rather than in batches.
MillionVerifier
MillionVerifier competes on price and says so openly. It’s run by a Hungarian company and backs its results with a 100% money-back guarantee, which is unusual in a category where accuracy claims are hard to audit.
- Best for: cleaning large legacy lists where cost per address is the deciding factor.
- Pricing: 100 free credits, plans from $39, and 1 million verifications for $449. Credits don’t expire.
- Pros: the lowest published price at a million in this list, four to six times under Bouncer and Kickbox at the same volume; money-back guarantee; 40+ native integrations.
- Cons: narrower product than the suites. You get verification and list cleaning, without the deliverability tooling around it.
Hunter
Hunter is a prospecting platform with verification attached, not a verification service. If your team is already using it to find addresses, verifying inside the same tool removes an export step.
- Best for: outbound teams that already run Hunter for email finding.
- Pricing: free plan with 50 credits a month. Starter is €49/month for 2,000 credits (€34/month billed yearly), Growth €149/month for 10,000, Scale €299/month for 25,000. A verification costs 0.5 credits, so 2,000 credits covers up to 4,000 verifications.
- Pros: one tool for finding and verifying; generous credit math on verification specifically.
- Cons: prices are listed in euros, so your actual cost moves with the exchange rate. Credits are shared between search and verification, which makes forecasting harder if you use both heavily.
DeBounce
DeBounce is the most aggressive on advertised unit cost, with pay-as-you-go credits that don’t expire and no monthly commitment.
- Best for: occasional bulk cleaning where you want the lowest possible price per check.
- Pricing: 100 free credits, no card. Advertised from $0.00045 per check at the top of the volume curve. Credits never expire.
- Pros: very low headline unit cost; no subscription; all features included on every plan.
- Cons: the actual tier prices only come out of a slider calculator, so there’s no table to put in a budget request. And catch-all validation costs 10 credits instead of 1. On a B2B list heavy with enterprise domains, that changes your effective price significantly, so model it against your own catch-all share before assuming the headline rate applies to you.
Also worth a look
Emailable gives 250 free credits and doesn’t expire them, with a 5,000-credit minimum purchase, but its pricing calculator didn’t publish figures when we checked in July 2026. Clearout offers 100 free credits and combines verification with an API and finder, though we couldn’t reliably read its plan pricing from the public page. Both are credible; get a quote rather than working from a number you found on a listicle.
How do you choose an email verification tool?
Pick on three things in this order: whether you verify in batches or in real time, how much you verify per year, and whether your data can leave the EU. Accuracy claims are the worst way to choose, because every vendor claims 98-99% and none of them can be independently verified from the outside.
Here’s the decision as most teams actually make it:
- Batch or real-time? If you only clean lists before campaigns, buy credits that don’t expire and skip subscriptions entirely. Bouncer, MillionVerifier, and DeBounce are built for that pattern. If you need to reject bad addresses at the signup form, you need a fast API, which pushes you toward ZeroBounce or Kickbox.
- What’s your annual volume? Below roughly 50,000 addresses a year, the unit price barely matters and you should optimize for whichever tool your team will actually use. Above 500,000, the spread between the cheapest and most expensive option here is thousands of dollars for the same job.
- Where can your data live? If you’re handling EU personal data under GDPR, Bouncer, Kickbox, and MillionVerifier all offer EU processing. Confirm the DPA before you upload anything.
- Do credits expire? NeverBounce says 12 months. Several others state plainly that credits never expire, and a few say nothing at all, which is not the same as “no”. Get it in writing: if your verification is seasonal, expiry can quietly erase a volume discount you already paid for.
- What happens to “unknown” results? ZeroBounce, Kickbox, and Emailable don’t charge for inconclusive checks. On a list with a high catch-all share, that changes the final invoice by a visible amount.
Run the free tier of your two finalists on the same sample of 100 addresses from your own database and compare the results side by side. Vendor accuracy benchmarks are marketing. A disagreement on your own data is something you can actually act on. Once a tool is in place, the verification step belongs inside your campaign routine rather than in a quarterly panic, which is how bounces turn back into subscribers.
